Job Title: Equestrian Center Administrative Assistant
Reports To: KCRMA Equestrian Center Manager
Starting Pay Range: $18.00 – $20.00 per hour, paid on a bi-weekly basis.
Employment Classification: Regular Part-Time (20 – 29 hours per week), Non-Exempt

POSITION SUMMARY:
Support and assist the Equestrian Center Manager by providing comprehensive administrative support to ensure the efficient operation of the Equestrian Center.

ESSENTIAL FUNCTIONS:

  • Populate, collect, maintain, and execute all boarding
  • Assist in maintaining boarder contact information
  • Verify and maintain that required waivers are on
  • Assist with billing and invoicing for boarders and riding school
  • Maintain boarder waiting list and respond to inquiries from potential
  • Print and confirm feed changes and Stall Cards to
  • Assist EQC Manager with updating facility
  • Maintain spreadsheets related to safety training, vehicle insurance, boarder contact, work order requests, etc.
  • Assist with maintaining and ordering office supplies, and ensuring the office is organized and tidy.
  • Assist the Equestrian Center Manager in developing and implementing communication strategies to keep boarders, trainers, students and interested residents of KCRMA informed about events and updates at the Equestrian Center.
  • Assist the Equestrian Center Manager with improving upon and implementing updates to existing evacuation plans, safety procedures, emergency plans, and other barn procedures/guidelines.
  • Assist the Equestrian Center Manager with assessing all existing contracts and agreements with external vendors and creating an approved vendor process to ensure infrastructure work and supplies (feed, bedding, fill materials, fencing, etc.) are sourced per the Master Association’s Procurement Guidelines.
  • Assist the Equestrian Center Manager with all end-of-the-month billing and financial tallies to submit to the General Manager and Finance.
  • Assist the Riding School Manager with Administrative Tasks and Seasonal programs, such as Riding Camps, Picnic with Ponies and monthly Birthday Party coordination.

REQUIRED EXPERIENCE:

  • Previous experience in an office or administrative role is preferred, but not
  • Previous experience and knowledge of horses and the quality care associated with running an equestrian center/barn is preferred, but not required.

JOB QUALIFICATIONS:

  • Proficiency in interpersonal communication is essential, encompassing the capability to handle challenging situations with diplomacy and tactfulness.
  • Be able to interface daily with multiple equestrian center users, boarders (both residents and non-residents), veterinarians, farriers, and other necessary equine personnel. This includes taking input and dealing with various issues or complaints in a timely and effective
  • Exceptional written and verbal communication abilities along with robust relationship- building skills are necessary.
  • Detail oriented with strong organizational skills, capable of prioritizing and managing multiple tasks efficiently in a dynamic work setting.
  • Basic computer skills including use of MS Office (Word, Excel and Outlook), with a willingness to learn new software programs.
  • Successfully engage with both the public and colleagues in a constructive and supportive
  • Demonstrate understanding of situational priorities for alerting authorities in times of disaster or critical circumstance.
  • Ability to read, write, speak, and understand the English language at a level adequate to perform the job.

WORK AND PHYSICAL REQUIREMENTS:
This position requires work in a variety of locations and conditions, including but not limited to the Equestrian Center and office.
